Privacy Policy

Last updated: 12 October 2026

This privacy notice explains how Artificial Mind Solutions handles personal data submitted through this website, including contact forms, assessment requests and the AI ValueForge QuickScan. It also describes website operation, cookies and your privacy rights.

Who we are and how to contact us

Artificial Mind Solutions is an eXcelleRes initiative based in Amsterdam, the Netherlands. For questions about data processing and privacy requests, contact info@artificialmindsolutions.com. Postal address: Sarphatistraat 370, 1018 GW Amsterdam, the Netherlands.

What data we receive and why

Contact and assessment requests may contain your name, business email address, organisation, optional role, enquiry type and message. We use this information to respond to your request, discuss a possible assignment or assessment, and take steps requested by you before entering into an agreement.

Depending on the circumstances, our legal basis is taking steps at your request before entering into a contract, or our legitimate interest in responding to business enquiries. If we must keep business records to comply with a legal obligation, that obligation is the relevant legal basis.

AI ValueForge QuickScan

The QuickScan asks for your name, business email address, organisation, optional role and thirteen selected answers about AI adoption and transformation. The WordPress form system records the submission and related metadata, including a reference and timestamp. A person reviews the answers to determine a suitable follow-up. The QuickScan is not an independently audited maturity assessment or an automated decision with legal or similarly significant effects.

For restricted internal analysis, a Google Sheets workbook receives the submission reference, timestamp, thirteen selected answer values and technical constants. Names, business email addresses, organisation names, roles and IP addresses are not deliberately mapped to this workbook. Because the reference may be matched to a form entry, the dataset is pseudonymous, not anonymous. Google Sheets is an external cloud service.

We use these responses to handle the request and prepare a human-reviewed follow-up. Submitting a QuickScan or contact form does not by itself constitute consent to receive marketing messages. Please do not include sensitive personal, confidential or security-restricted information in form responses.

Website operation and cookies

Our website uses STRATO hosting, WordPress and website security, performance and consent-management tools. Technical data such as IP addresses, browser information, access timestamps and security events may be processed to operate and protect the website. We rely on our legitimate interest in operating and securing the website where applicable. Non-essential cookies and third-party content are subject to the choices described in the website cookie settings, including consent where required.

Service providers and international processing

We use service providers for website hosting, form processing, security and the restricted Google Sheets analysis described above. Providers receive only information needed for their role and may operate through infrastructure outside the European Economic Area. Where a transfer outside the European Economic Area takes place, applicable data protection and transfer requirements must be observed. You may request additional information about relevant providers and safeguards using our contact address.

Retention

We retain enquiry and QuickScan information for as long as needed to handle the request and relevant follow-up, unless applicable law or the establishment, exercise or defence of legal claims requires longer retention. Technical, security and consent records are subject to their operational purpose and applicable settings or legal requirements. We do not apply a blanket five-year retention period to every category of personal data. For further information about retention applicable to your submission, contact us.

Your rights and requests

Subject to applicable law, you may request access, correction or deletion of your personal data, object to or restrict processing, withdraw consent where processing relies on consent and request data portability where applicable. Contact info@artificialmindsolutions.com. We may verify your identity through an appropriate secure process; please do not send identity documents by ordinary email. You may also lodge a complaint with the Dutch supervisory authority, the Autoriteit Persoonsgegevens.
